Deactivated Members and How to Reactivate Them

What deactivated means, how seats work, and how to reactivate someone.

Everyone in your organization is either Active or Deactivated. Active people use a seat on your plan. Deactivated people stay in your organization but don't use a seat, so you only pay for the people who are touring right now.

Active vs. deactivated

Status

What it means

Active

Uses a seat. Each active person occupies one seat on your organization's plan.

Deactivated

Doesn't use a seat. They stay in your organization and can be reactivated anytime.

Auto-deactivated

Daysync deactivated them for you because they had no assigned tours and hadn't been active for 14+ days.

Find deactivated people

  1. Click the menu at the top right and choose Account Settings.

  2. Under your organization's name, click People.

The Billing Status column shows Active or Auto-deactivated for each person, and the summary at the top shows how many Active seats and Deactivated seats you have. Use the search box or the All seat types filter to narrow the list.

Reactivate someone

  1. On the People page, click the three dots at the end of the person's row.

  2. Click Reactivate.

It takes effect straight away and their status changes to Active.

Deactivate someone

  1. On the People page, click the three dots at the end of the person's row.

  2. Click Deactivate.

You can also click a person's name to open their details, then choose Deactivate under Danger Zone. Deactivating frees up one seat. They lose access but stay in your organization.

Adding a deactivated person to a tour

When you add people from Tour personnel › Add › Add to tour, anyone who's deactivated is labeled (deactivated) in the list. Adding them to a tour brings them back so they can see it. Remember that every active person uses a seat, so on a paid plan this can change your seat count.

Deactivate, remove from a tour, or remove from the organization?

  • Deactivate: they stay in the organization and don't use a seat. Reversible at any time.

  • Remove from tour: they're taken off one tour but stay in your organization. In Tour personnel, you can also choose Remove and keep role open to hold their seat on the roster for someone else.

  • Remove from organization: permanently removes the person and frees their seat.

Tips

  • Not sure if you'll need someone again? Deactivate rather than remove. It's free and reversible.

  • Check your seat count at the top of the People page before you start a new run.
