How to Add a Flight to Your Tour Schedule

Daysync allows you to add flight details directly to your tour schedule so that all team members can stay informed about travel plans. By adding flight information to the calendar, you can organize departure and arrival times, manage layovers, and ensure that everyone involved in the tour has access to the travel schedule.


Add a Flight to the Schedule


Step 1: From the main menu, select the tour where you want to add the flight.


Step 2: After selecting the appropriate tour, the Schedule section will open displaying the tour calendar.


Step 3: From the left-hand panel, select the day for which you want to add the flight.


Step 4: Navigate to the appropriate date using either Calendar View or Day Sheet view.


Step 5: Click the + Create dropdown button.


Step 6: From the dropdown menu, select Flight Iteam option.


Step 7: After selecting Flight Item, the Flight Details form will appear. Start by entering the Departure Airport and Arrival Airport.


Step 8: if the flight includes a stop, click Add layover, then enter the layover airport and the duration of the layover (for example, 1h 30m).


Step 9: Enter the departure time and arrival time for the flight. The corresponding time zones for departure and arrival locations will be displayed automatically.


Step 10: After entering the departure and arrival details, the Flight Time and Distance will be automatically calculated and displayed based on the selected airports and times.


Step 11: Enable Notify members if you want tour members to receive a notification about the added flight.


Step 12: Set the item status by selecting one of the available options:

  • This item is confirmed

  • This item is unconfirmed

  • This item has no status


Step 13: Add Travel Notes if you want to include additional information about the flight.


Step 14: Click the Flight Type dropdown and select the appropriate option (e.g., Commercial, Private, or Charter).


Step 15: Enter the Airline Name (e.g., Delta Airlines).


Step 16: Enter the Flight Number (e.g., QF3215).


Step 17: Enter the Confirmation Code if available.


Step 18: Choose who can view this flight item by selecting one of the sharing options:

  • Shared with everyone on the tour

  • Shared with specific people

  • Shared with admins only


Step 19: Add a Reminder from the dropdown menu. For example:

  • At start time of event

  • 5 minutes before

  • 10 minutes before


Step 20: Upload any relevant documents or files by clicking Browse Files or dragging and dropping files into the upload area.


Step 21: Click anywhere on the calendar canvas to save the changes.


Step 22: After saving, a success message will appear confirming that the item has been updated successfully.


Verify the Flight in the Schedule

After saving, check that the flight appears in the calendar or Day Sheet view with the correct time and details.


Tips

  • Ensure that flight times match the correct timezone, especially when traveling across different countries.

  • Use the Timezones option in the schedule to manage events across multiple time zones.

  • Flight details can be edited or deleted later if travel plans change.

  • Sharing the flight with everyone on the tour ensures that all members stay updated on travel arrangements.
