How to Export a Day Sheet as a PDF

Export any day as a PDF, choose what's included, and save or print it.

Need a printed sheet for the bus, a PDF for the promoter, or a stripped-back version for a driver? Export any day as a PDF and choose exactly what goes on it. The preview updates as you go, so what you see is what you'll get.

Export a day sheet

  1. Open your tour and select the day in the Dates list.

  2. On the Schedule tab, click the three dots (More actions) in the toolbar.

  3. Click Export day sheet.

Pick a starting point

Choose one of the three presets at the top:

Preset

What's included

Full

Everything available for the day: day header, schedule, venue, bulletins and upcoming days.

Schedule

Day header and the schedule with all details (locations, notes and travel, and time zones).

Minimal

Day header and the schedule with times and time zones only. Great for drivers or local crew.

Choose what to include

Under Include, tick or untick each section. Use Select all or Clear to change everything at once. The number next to a section shows how many of its items are included (for example 4/4).

To fine-tune a section, click the arrow next to it:

  • Schedule: click an item to leave it out. Under Details to show, turn Locations, Notes & travel and Timezones on or off.

  • Venue and Bulletins: choose which ones to include.

As soon as you change a section yourself, the preset is no longer highlighted. That's expected; your custom selection is what gets exported.

Save or print

  • Click Save as PDF to download the file.

  • Click Print to send it straight to a printer.

You can also use the download and print buttons in the preview's own toolbar.

Tips

  • Think before sharing personal details. Contact details and guest names shouldn't end up on sheets that leave the touring party, so untick those sections for outside recipients.

  • A PDF is a snapshot. It won't update if the schedule changes. If something moves, export a fresh copy, or point people to the app for the latest version.

  • Unconfirmed items are marked. Items that aren't confirmed show "This item is unconfirmed" on the PDF, so double-check them before you print.

  • Copy as text instead. In the same More actions menu, Copy schedule as plain text gives you the day's schedule ready to paste into an email or message.
