How Visibility Works on Schedule Items

Control who sees each schedule item: Public, Limited (aimed) or Sealed.

Not everything on a tour is for everyone. Visibility lets you decide who sees each schedule item, from the whole tour down to a few named people. Use it for artist-only calls, management meetings, private travel and anything commercially sensitive.

The three visibility states

Every schedule item is in one of three states. You'll see the current state on the item, next to the globe, people or lock icon.

State

Who sees it

Public

Everyone on the tour. This is the default for new items: "Nothing aimed. The whole tour gets full view."

Limited

Only the parties, subgroups, splits or people you've aimed it at. People who can see Everything on the tour, including Org admins, can still see it.

Sealed

Only the people you name. Nobody else can see it, not even Org admins.

Change who can see an item

  1. Open the item from the schedule. The details panel opens on the right.

  2. Next to the visibility row (it says Public for a new item), click Manage.

Aim an item at certain people or groups (Limited)

  1. Under Aimed at, click + Aim at….

  2. Search, or use the filters Parties, Subgroups, Splits and People, and pick who it's for. You can add as many as you need.

  3. Click Done, then Save.

Each audience you add shows a viewing level. Click it to switch between:

  • full view: they see the whole item.

  • time only: they see that something is happening and when, without the details. Handy for "the band is busy 2–4 PM" without sharing what or where.

If someone is reached in more than one way (say, through their party and by name), the most generous level wins.

Seal an item (named people only)

  1. Under Sealed, tick Only named people can see this item.

  2. You're named automatically. Click + Name someone to add others.

  3. Click Done, then Save.

Until you name anyone else, a sealed item is private to you: "Sealed to only you – a private item until you name others."

Important: Sealed is the only way to hide an item from Org admins. If you need an admin to see a sealed item, name them.

See visibility at a glance

Items aimed at someone show who they're for right on the schedule. To turn this on or off, click the three dots (More actions) on the Schedule tab and use Show visibility under View preferences.

Parties, subgroups and splits

Aiming works best when your tour has a structure. Set it up under Tour personnel › Structure:

  • Parties group people on the tour, for example Band, Crew or Artist Party. Each person is in one party at a time.

  • Subgroups divide a party, for example Audio or Backline.

  • Splits cut across every party, for example Bus 1 or Advance team.

Tips

  • Check before you share. Visibility controls what people see in Daysync. A PDF or text you export and send yourself goes to whoever you send it to.

  • Use time only for busy blocks. It keeps everyone's day accurate without oversharing.

  • Prefer parties and splits over individual names. When someone joins a party later, they automatically see what's aimed at it.
