You can assign a venue to each show day in Daysync so your team can easily see where events are taking place. Adding a venue helps keep tour logistics organized by storing important location details such as the venue name, capacity, event restrictions, and venue type. You can search for existing venues or create a private venue if the location is not available in the search results.
Follow the steps below to add and configure a venue for a show day:
How to Add a Venue
Step 1: From your tour schedule, select the specific show day where you want to add a venue.
Step 2: Click the Venue tab located in the top navigation section.
Step 3: Click the Add Venue button to start adding a venue for that day.
Step 4: In the search field, begin typing the name of the venue you want to add.
A list of matching venues will appear. Select the correct venue from the search results (for example: Forum Melbourne).
If the venue does not appear in the search results (such as a private residence or custom location), select the Private Venue option and manually enter the venue name and address.
Step 5: (Optional) Enable Use this venue as the day's location if you want this venue to automatically set the location for that specific day.
Step 6: (Optional) Enable Notify members to inform your team about the updates.
Step 7: Click the Add Venue button to add the venue for that day.
After clicking Add Venue, a success message will appear confirming that the venue has been updated (e.g., “Venue added”).
Configure Venue Details
After adding the venue, you can configure additional details to provide more information for your team.
Step 1: Select the Venue Type from the dropdown menu to indicate the specific area or room within the venue.
Step 2: Enter the Capacity of the venue (for example: 500).
Step 3: Specify the Age restriction if the event has a minimum age requirement.
Step 4: Set the venue status by clicking the status dropdown and selecting one of the available options:
Confirmed
Unconfirmed
No Status
Step 5: Add any relevant notes in the Add Notes field to provide additional information about the venue for your team.
Step 6: Choose who can view the venue details by selecting a sharing option from the dropdown:
Shared with everyone on the tour
Shared with specific people
Shared with admins only
Step 7: Click Upload next to Add Attachments to upload any relevant files or documents related to the venue.
Step 8: To add a key contact, click Add next to Key Contacts.
Step 9: The Manage Key Contacts window will open. In the search field, search for an existing contact by name or email.
If the contact does not exist, a New Key Contact form will appear. Fill in the following details:
First Name
Last Name
Role
Company
City
Email Address
Phone Number
URL
Step 10: Click Save to add the key contact.
A success notification will appear confirming that the key contact has been created successfully.
Step 11: Click on the Save button. The contact will now appear under the Key Contacts section.
Step 12: To manage General Contacts, click Manage next to General Contacts.
The Edit Contact Details window will open, where you can add and update the phone number, email, and website URL for the venue.
Step 13: Click Save to apply the changes.
