How to Create a Guest List for a Show

Daysync allows you to create and manage a guest list for each show within your tour. You can add guest details, control access, and organize entries efficiently for smooth event management.


Follow these steps to create and manage a guest list:


Step 1: From the dashboard, select your tour from the left-side panel.


Step 2: Click the Guest List tab from the top navigation and select the relevant show date.


Step 3: Click Add Guest List button.


Step 4: After clicking Add Guest, the “Add to Guest List” form will open.


Step 5: Enter the guest’s First Name and Last Name (e.g., John Smith).


Step 6: Enter the guest’s Last Name.


Step 7: Add the Guest Affiliation (e.g., Press, Friend, Industry).


Step 8: Enter the Guest Email (optional, if available).


Step 9: Select the Number of Guests from the drop downmenu.


Step 10: Select the Requestor (person who submitted the request).


Step 11: Choose the Pickup Method from drop down menu.


Step 12: Set the Status from drop down menu.


Step 13: Add any additional Notes if required


Step 14: Click Submit to add the guest to the guest list.


Add Total Limits


Step 1: Click the Add Total Limits button on the Guest List page.


Step 2: Enter the maximum number of guests allowed for the show.


Step 3: (Optional) Enable Enforce Limit to restrict approvals once the limit is reached.


Step 4: (Optional) Set limits for specific pass types (e.g., AAA).


Step 5: Click Save to apply the limits.


Guest List Settings


Step 1: Click the Settings button on the Guest List page.


Step 2: In the settings window, configure:

  • Enable submissions to allow or restrict guest requests

  • Enable cutoff date & time to automatically stop submissions after a set time


Step 3: Click Save to apply the changes.


View, Sort, and Manage Your Guest List

Step 1: Use filters such as All, New, Approved, Waitlisted, or Denied to organize guest entries.


Step 2: Use sorting options (e.g., by Name, Requestor, or Number of Guests) to manage large lists efficiently.


Step 3: Click on any guest entry to manage it.


Step 4: From the guest detail view, you can:

  • Approve or deny requests

  • Assign pass types

  • Edit guest details

  • Add notes

  • Update ticket allocations

Tips

  • Use Affiliation and Requestor fields to keep your guest list organized, especially for larger tours.

  • Apply filters and sorting to quickly manage large volumes of entries.

  • Export the guest list using Download CSV for sharing with venue staff or offline use.

  • Clearly define pickup methods so guests know where to check in at the venue.
