How to Manage Guest Lists and Pass Types

Every show day can have its own guest list. Add guests yourself, let tour members send requests, cap the numbers, and set up pass types like AAA or After Show.

Open the guest list

  1. Select the show day in the Dates list.

  2. Click the Guest List tab.

  3. If the day has more than one venue, pick the venue at the top left. Each venue has its own list.

Add a guest

  1. Click Add Guest.

  2. Enter the guest's first and last name, plus an affiliation (like Friend or Photographer) and email if you have them.

  1. Under Request details, choose who the request is for (the requester), the number of Guests, and how they'll collect tickets: Will Call, Hotel Delivery, tour manager or venue.

  2. Set the status: New request, Approved, Denied or Waitlist.

  3. Add Notes if needed and click Submit.

The guest appears in the list. Change the status any time from the Status column.

Open or close requests

Click Settings › Guest list settings:

  • Enable submissions: let tour members send guest requests. The list shows Open when this is on.

  • Enable cutoff date & time: stop requests after a set time.

Set a limit

  1. Click Settings › Total limits.

  2. Enter Max guests.

  3. Turn on Enforce limit to stop members submitting past the cap.

  4. Click Save.

The summary at the bottom shows Number allowed, Enforced, Requested, Approved and Remaining.

Export the list

Click Settings › Export guest list and choose a format to share it with the box office.

Set up pass types

Pass types are the credentials you hand out, like AAA, After Show or Photo.

  1. Click Pass Types, then Add Pass Type.

  2. Enter a pass name and abbreviation.

  3. Choose the material type, like laminate, wristband or sticker.

  4. Add a description, and choose which show days and venues it applies to.

  5. Set who can see it with Manage, attach a file (like the pass artwork) and click Save.

Use Download to get a copy of your pass types.

Tips

  • Set limits early so requests stop at the promoter's allocation.

  • Use Waitlist for maybes. They're easy to approve if space opens up.
