How to Use Custom Fields on Schedule Items, Stays and Venues

Every tour has details the standard fields don't cover: a door code, a promoter reference, a bus parking note. Custom fields let you add your own named fields to schedule items, stays and venues, so that information lives right where your team will look for it.

  1. Open the item from the schedule.

  2. Next to Custom field, click Add.

  3. Enter a Field name, then click Add Field.

  4. Type the value.

  5. Click Save.

Add a field to a stay or venue

Stays and venues come with a list of ready-made fields, so check there first.

  1. Open the stay (Stays tab) or venue (Venue tab).

  2. Next to Stay information or Venue information, click Add.

  3. Pick a field from the list, or scroll down and choose Create custom field.

  4. Enter the value and click Save.

Built-in stay fields: Confirmation number, Room block, Parking, Wi-Fi, Breakfast, Room service, Health facilities, Laundry, Rate and Cancellations.

Built-in venue fields: Venue type, Capacity, Age restriction, Load-in, Parking, Doors, Curfew, Stage dimensions, Power, House PA, Wi-Fi and Guarantee / fee.

To remove a field, click the x next to it and save.

Good to know

  • Fields belong to one record. A field you create on one stay or item isn't added to the others, so add it wherever you need it.

  • Values are text. Type whatever you need: a number, a time, a short note.

  • Everyone who can see the item can see its fields. Use Visibility to limit who sees sensitive details, like a guarantee or Wi-Fi password.

Tips

  • Use the same names everywhere, like "Lobby code" rather than "Lobby code" on one stay and "Door code" on the next.

  • Keep names short. They're easier to read on a phone.

  • Changing something urgent? Post it in Tour Chat too, so nobody misses it.
