How to Add Confirmation Numbers to Stays

Confirmation numbers help your team quickly access hotel booking details during check-in. By adding the correct booking or reference number to each stay, tour members can easily view the required information directly from the schedule.


Follow these steps to add or update the confirmation number for a hotel stay:


Step 1: From the dashboard, select your tour from the left-hand sidebar.


Step 2: Click the Stays tab from the top navigation bar. You will see a list of all hotel stays arranged by date.


Step 3: Locate and click the hotel stay you want to update.


Step 4: Locate the Confirmation number field.


Step 5: Enter the hotel booking or confirmation number exactly as provided by the hotel or booking platform.


After entering the confirmation number, a success message will appear confirming that the accommodation has been updated (e.g., "Accommodation updated").


The confirmation number will be visible to crew members who have access to the stay details, helping them easily access the information during hotel check-in.


Tips

  • Add additional information in the Notes section if required (for example: “Name on booking: Blake Churchill”).

  • Double-check the confirmation number before saving to avoid check-in issues.

  • If rooms are booked under multiple reservations, ensure each stay has the correct booking reference.

  • If the hotel booking changes, remember to update both the confirmation number and any related check-in instructions.
